The Position:


We are seeking a proactive and highly organized Part-Time Executive Assistant to support one of our financial executives in delivering exceptional service to our clients. This role is ideal for a detail-oriented professional who thrives in a fast-paced environment and is passionate about helping others stay focused, prepared, and efficient. The Executive Assistant will play a critical role in managing the Executive’s schedule, coordinating client communications, and ensuring smooth day-to-day operations for the Executive, enabling him to focus on strategic client engagement and planning.


Responsibilities:


  • Manage scheduling, prioritize appointments, and coordinate meetings
  • Handle email correspondence efficiently, ensuring timely responses and filtering important communications
  • Arrange travel logistics, including flights, accommodations, and itinerary planning
  • Support with personal and professional administrative tasks, such as expense management, document preparation, and special projects
  • Maintain confidentiality and discretion in all interactions and tasks
  • Optimize executive efficiency by organizing tasks, streamlining processes, and implementing effective time management strategies
  • Communicate effectively with high-net-worth individuals and stakeholders, representing the advisor professionally


Qualifications:


  • Proven experience as an executive assistant or administrative experience in a corporate setting
  • High integrity and ability to handle sensitive information with confidentiality
  • Strong organizational skills with the ability to prioritize tasks and manage multiple priorities effectively
  • Excellent communication skills, both written and verbal, with proficiency in professional etiquette
  • Proficient in office software (e.g., MS Office, Google Workspace) and capable of adapting to new technology platforms
  • Flexible, adaptable, and able to work independently with minimal supervision
  • Understanding of financial terminology and being comfortable discussing financial matters


Salary & Benefits:



  • Flexible working hours, approximately 4-5 hours per day
  • Remote work arrangement
