The Position


As the Executive Assistant, you’ll play a key role in ensuring clients receive an exceptional experience from start to finish. Reporting directly to the Financial Advisor, you’ll support a wide range of operational and administrative tasks from managing schedules and client paperwork to coordinating meetings and maintaining digital tools. Responsibilities


Client Support & Communication: Respond to client inquiries via phone, email, and in person with professionalism and care. Follow up consistently and solve problems effectively.

Scheduling & Coordination: Schedule and confirm client appointments, meetings, and calls. Ensure calendars are current and organized.

Document Management: Prepare, organize, and complete all client paperwork, both in person and via Docusign, and maintain communication about account progress.

Back-Office Administration: Track and maintain accurate records in systems such as Redtail, Salesforce (MoneyEdge), and Microsoft Office. Log updates and report requests efficiently.

Marketing & Social Media: Keep the website and social media platforms up to date with events, market commentary, and relevant firm updates.

Investment Support: Under the direction of the Financial Advisor, provide market quotations, place trade orders, and rebalance accounts.

Reporting & Correspondence: Type and design written correspondence, reports, and other materials as needed. Legible handwriting required.

Technology & Platform Use: Utilize platforms such as Wealthport, Fidelity Institutional, MoneyEdge, Redtail, Riskalyze, and Microsoft Office Suite to support client and firm needs.

Team Engagement: Actively participate in internal meetings, industry trainings, and conferences as required. Represent the firm in a professional, courteous manner.



Qualifications

  • Associate’s degree (or equivalent experience)
  • 6+ months in an administrative, customer service, or financial support role
  • Strong verbal and written communication skills
  • Excellent time management, multitasking, and organizational abilities
  • Comfortable using Microsoft Office Suite, CRM tools, and financial platforms
  • Professional, proactive, and eager to learn and grow
  • FINRA Series 7, Series 66, and Life/Health licenses preferred, or a willingness to pursue them


Compensation & Benefits


  • Salary: $50,000–$60,000 annually, depending on experience
  • 10 days PTO, 5 sick days, and paid holidays
  • 401(k) with 3% employer match
